How to get more value from your NetSuite application

Most NetSuite environments have substantial unrealized value. The gap is not in the software; it is in the system's configuration, utilization, and alignment with how the business operates.

Organizations that treat NetSuite as a continuous investment rather than a one-time deployment reap the greatest benefits. They compare their configuration to changing business requirements, activate capabilities that have become relevant since go-live, and address the accumulated gaps that occur in any system that has been running for several years.

Organizations that stopped investing after go-live get the least value from NetSuite. Their system represents the business as it was, not as it is.

The difference between capability and delivery

NetSuite environments consistently underperform in the same areas. The gap is rarely in the platform itself but in the difference between what the system can do and what the organization has configured and enabled.

The most common indicators of an underperforming NetSuite environment are a longer financial close cycle over time, revenue recognition adjustments that necessitate manual journal entries each period, inventory reconciliation that does not close cleanly without manual work, management reports that require Excel export and manipulation, and approval workflows that exist in theory but are routinely ignored in practice.

Each of these indicators points to a specific configuration gap, not a software limitation. Addressing them results in measurable improvements without requiring a new implementation.

The most frequently underutilized areas

Several NetSuite capabilities are consistently underutilized in the environments we evaluate.

  • Saved searches and dashboard reporting. Most companies use standard NetSuite reports and export data to Excel for management reporting. When properly configured, NetSuite's saved search and dashboard capabilities can generate the majority of the management reporting that finance teams create in spreadsheets, eliminating the export-and-manipulate workflow and the accuracy risk it entails.
  • Periodically close management. NetSuite includes period-close workflow tools for managing the entire close sequence, including assigned task ownership, due dates, and completion documentation. Organizations that manage close checklists via email or shared documents outside of the system do not use this feature.
  • Automated bank feeds and reconciliation. Most major banking institutions offer banking integration, which allows for automated statement import and reconciliation matching. Organizations that manually reconcile are performing tasks that the system can do for them.
  • Intercompany workflow automation. Multi-entity organizations that manually manage intercompany transactions, creating paired transactions in each entity and reconciling at period end, are wasting one of NetSuite's most operationally valuable capabilities.

Configuration improvements with quick results

Certain configuration improvements in underperforming NetSuite environments produce results within a few weeks of implementation.

  1. Chart of accounts and segment cleanup. Organizations that add accounts informally over time and without governance accumulate chart of accounts structures that result in ambiguous management reports and reconciliation complexity. A chart of accounts cleanup project, which involves consolidating redundant accounts, adding missing segments, and deprecating unused accounts, improves reporting quality and closing efficiency.
  2. Approval workflow activation. Organizations that have defined approval workflows but do not consistently enforce them usually have a configuration gap—either the workflow logic has a bypass path that users have discovered, or the workflow routing reflects a no longer-existent organizational structure. Fixing the workflow restores control and improves audit documentation.
  3. Review the revenue recognition rules. Organizations that process ASC 606-covered revenue using incorrect recognition rules accumulate deferred adjustments that necessitate manual journal entries. A revenue recognition rule review and correction eliminates the adjustment workflow, resulting in clean recognition from the point of correction forward.

Free feature activation

With each platform update, NetSuite adds new features, some of which are available automatically, while others require opt-in activation. Organizations that do not actively manage feature adoption miss out on license-included capabilities.

The most frequently overlooked no-cost capabilities in recent NetSuite releases are enhanced analytics and reporting tools, improved bank reconciliation matching logic, expanded approval workflow capabilities, and enhanced audit trail features. An annual review of available feature activations against current business requirements typically identifies 3 to 5 improvements that can be implemented without incurring additional license fees.

When optimization turns into re-implementation.

Some NetSuite environments have so many structural issues (chart of accounts architecture, entity structure design, integration architecture) that optimization is insufficient. The underlying design decisions were inappropriate for the organization's requirements, and no amount of configuration improvement can make up for a fundamental design flaw.

Optimization has become a re-implementation project when the same problems reoccur after each remediation effort, the close cycle does not improve despite individual fixes, and compliance gaps appear in multiple areas rather than isolated ones.

Organizations in this situation benefit from a candid assessment before investing more in incremental improvements. An honest ERP health check that distinguishes between configuration gaps and architectural issues provides the clarity required to make an informed investment decision.
